Website Visits and Server Log Data

When you visit webmelden.de, technically necessary information is processed so that the website can be delivered and operated securely and reliably. This may include, in particular, information about the requested page or file, browser and browser version, operating system, device type, time of access, and technical connection data.

To the extent that this processing is carried out by our hosting service provider, it serves, in particular, to ensure the availability, stability, and security of the website. The legal basis is Art. 6(1)(f) of the GDPR.

webmelden.de is hosted by IONOS. To the extent that webmelden.de maintains its own security-related log data, this data is stored only for as long as necessary for the detection of misuse and for IT security.

Registration, starter and organizer accounts

Depending on the type of use, a Starter or Organizer account is required to use the personal features of webmelden.de.

When registering for and using a Starter account, we process, in particular, your name, date of birth, address, email address, phone number, login credentials, club and association details, as well as the selected sports and other voluntary or function-related information.

When registering for and using an organizer account, we may process, in particular, the name or contact person, club or organization, address, email address, login credentials, and the information required for event management and billing.

This processing is carried out for the purpose of setting up and managing the respective account and providing the functions of webmelden.de. The legal basis is Article 6(1)(b) of the GDPR.

all your registered dogs

Dog data may be processed for registration and sports-related purposes. This includes, in particular, the dog’s name, kennel name, breed, date of birth, sex, microchip or tattoo number, performance record and registration data, size and performance classes, as well as owner information, if applicable.

To the extent necessary for event management, information regarding rabies vaccination, the validity of the vaccination, and the veterinarian may also be stored.

News about events

When you register for a tournament, a test, a seminar, or any other event offered through webmelden.de, we process the necessary participant, dog, club, class, registration, and, if applicable, payment information.

The data is processed to handle the registration, communicate about the event, and organize and follow up on the event. Without the required information, registration may not be possible. The legal basis is Article 6(1)(b) of the GDPR.

Disclosure to Event Organizers and Sports-Related Entities

The registration data required for an event will be made available to the respective event organizer and to the individuals or entities responsible for conducting the event.

To the extent necessary for the transmission of results, performance records, qualifications, or similar sports-related purposes, data may also be transmitted to the relevant associations or other designated entities.

Recipients may use the transmitted data only for the respective event- or sports-related purposes and within the framework of applicable data protection regulations.

Lists of starters, participants, race starts, and results

In connection with events, starter lists, participant lists, start lists, and results lists are compiled and made available via webmelden.de. In particular, the entrant’s name, dog’s name, and club are displayed publicly. Results lists also include the competition, time, fault, point, placement, and comparable result data necessary for the respective result.

Results and placement data are retained even after a participant account is deleted, to the extent necessary for the permanent documentation and traceability of competition and test results.

Payment and Billing Information

To the extent that payment or billing data is processed in connection with notifications or paid services, this is done for the purposes of payment processing, billing, and compliance with legal obligations. When paying by direct debit, we also process the bank and authorization data required for the collection. The legal bases are, in particular, Article 6(1)(b) and (c) of the GDPR.

Payment and billing data subject to statutory retention requirements are stored in accordance with the applicable statutory retention periods and subsequently deleted.

Newsletters and informational emails

You can voluntarily subscribe to newsletters or informational emails in the Starter settings. Consent can be revoked there at any time with future effect. The legal basis for sending these emails is Art. 6(1)(a) of the GDPR.

We use Mailgun for the technical delivery of emails. Mailgun processes the data required for email delivery as a technical service provider. When using the EU region, message data remains in the selected region, according to the provider. Mailgun notes that a limited amount of account and billing information from the service account may be processed or replicated globally. To the extent that this involves a transfer to a third country, it is carried out on the basis of the data protection safeguards provided for this purpose.

Premium account

A Premium account is activated for a specific period and automatically expires at the end of that period. It is not a subscription with automatic renewal. The use of a Premium account and the voluntary subscription to newsletters or informational emails are independent of one another.

Hosting and Technical Service Providers

We use external technical service providers to operate webmelden.de. These include, in particular, IONOS for hosting services and Mailgun for email delivery.

To the extent that service providers process personal data on our behalf, this is done in accordance with Article 28 of the GDPR on the basis of a corresponding data processing agreement or the applicable contractual provisions.

Data Transfer Outside the European Economic Area

webmelden.de does not intend to transfer starter, dog, registration, or results data to countries outside the European Economic Area (EEA), unless this is necessary in individual cases for an event outside the EEA selected by the user.

In the case of technical service providers used by us, processing or access outside the EEA cannot be completely ruled out in every instance. To the extent that such a transfer to a third country takes place, it will only occur in compliance with the legal requirements of the GDPR, in particular on the basis of an adequacy decision or appropriate safeguards.

Retention Period and Deletion

Account and master data are generally stored for as long as the starter account exists. Users can delete their account using the designated function in the main menu. Data that is still required due to legal obligations or other continuing legitimate purposes remains unaffected.

Vaccination data

Information on rabies vaccination and immunity is stored only as long as it is necessary or current for the intended purpose, and is then deleted or updated.
